Subscription Fees, Cancellation, and Refund Policy

Subscription Fees

  • Fees are calculated based on the product level for an organization.
  • A credit card must be maintained by the card holder, as a representative of the organization.
  • An invoice will be sent to the card holder's email address on file around the first of each month indicating the organization by name, the product level, and the dollar amount to be charged.
  • Credit card holder's account is automatically charged within 48 hours of this email notification
  • Discounts, rebates or other special offers only valid for initial term; subscriptions renew at the then-current full subscription rates.
  • Theater Manager Pro may terminate the subscription and these terms if it is unable to renew the subscription based on inaccurate or outdated credit card information.
  • Right of access granted under these Terms is effective only upon maintaining of the subscription fees.

Cancelling an Organization

  • You can cancel the Organization from the organization detail page. You must have the role of Org Administrator to initiate this change. If you are the only user associated with the organization, the cancellation will be immediately approved.
  • If there are multiple users connected to an organization, they will be notified by email and given a chance to challenge the cancellation.
  • Once the cancellation process has begun, other users will have 48 hours to follow the instructions and respond. Any user with the role of Organization Administrator can decide to keep the organization going, and take over payments. This will stop the Organization Cancellation process.
  • If 48 Hours pass in the Cancellation Process, the Organization will transition to a free level. Use of the organization will be subject to the limitations of the free tier.
  • Once the Organization has transitioned to free, the prorated subscription price will be calculated and processed as if it were a normal monthly billing cycle. If the Organization is switched to the free tier on the 15th of the month, then half the subscription will be calculated. Prorated cost is determined using this formula (Day of the month) divided by (number of days in current month) multiplied by monthly subscription cost to calculate the amount due.
  • An organization that has been cancelled, and set to the free tier, will remain in our system for a month. Then organization artifacts will be deleted. This includes:
    • Costumes
    • Props
    • Performances
    • Events
    • Pictures
    Note: Individual user accounts will not be deleted. Users can be associated with many organizations. Users will still be able to log in and create other organizations.
  • Organizations are not considered to belong to any single individual. They will not be deleted quickly if there are multiple users. This is to protect the integrity of the data from the actions of a rogue organization representative. Data about individuals can be deleted using another process, as governed by laws and regulations about personal data.
  • The only valid method for canceling your Plan is via the cancellation link described above. Requests to cancel by e-mail or phone are not considered, and do not accomplish, cancellation.
